Your Project Starts Here

How working with Trailhead works.

A closer look at how a Trailhead engagement runs, start to finish — from the first message to the finished deliverable in your hands.

Tell us what you need

It starts with a description, not a form. Tell us what needs to happen — sourcing a part, comparing quotes, tracking a project, researching a bid — in as much or as little detail as you already have. If you have a spec, a BOM, a drawing, or a deadline, send that along too. If you don't have all of it yet, that's fine; we'll ask the questions we need answered to scope the work correctly.

What we need from you: A short description of the task, and any documents, specs, or deadlines you already have on hand.

We define the scope

Before anything starts, we turn your request into a defined project: exactly what we're delivering, in what format, by when, and for what price. You review that scope and approve it in writing. Nothing moves forward until you've signed off — there's no ambiguity about what you're getting or what it costs.

What we need from you: Your sign-off on the proposed scope, timeline and price — and answers to any clarifying questions we send back.

Trailhead gets to work

With the scope locked, we do the work — the supplier outreach, the quote chasing, the research, the document assembly, the coordination calls. This is the part that was eating your team's time; now it's off your plate entirely. If something material changes mid-project, we pause, price the change, and confirm it with you before continuing.

What we need from you: Reasonable availability to answer a question if one comes up — most projects need little to no input from you once scoped.

You receive the results

You get a finished deliverable, not a pile of raw notes to sort through yourself — a comparison matrix, a supplier list, an RFQ package, a status report, built in a format your team can act on immediately. If revisions are needed within the agreed scope, we make them as part of the engagement.

What we need from you: A quick review of the deliverable and any revision requests within the original scope.

How pricing works

Every engagement is quoted as a fixed-scope project, not billed by the hour. We look at what you're asking for, define exactly what we'll deliver and by when, and quote a single price for that defined scope.

You review and approve that scope and price in writing before any work starts. If something changes once we're underway — the requirements shift, the list of suppliers grows, the deliverable needs to expand — we pause, price the change, and confirm it with you before continuing. The price you approved doesn't move unless the scope does.

CUSTOM PROJECTS

Have something that doesn't fit neatly into a package? Tell us what you need accomplished and we'll develop a scope.

What we'll need from you

Every project moves faster the more of this we have up front — but don't let missing pieces stop you from reaching out. We'll ask for what's missing during scoping.

  • The goal — what you actually need accomplished, in your own words
  • Any specs, drawings, quotes, or documents you already have
  • Your deadline, or how soon a decision needs to be made
  • Who on your side needs to review and approve the deliverable
